Contact Log

Use the Contact Log to record calls, meetings and visits with customers, prospects, suppliers or anyone else.

HINT-- The Contact Log is a valuable tool that will help you with your lead tracking and customer relations management. You can use it even if you're a small company that only has dozens of customers or projects.

Entering Contact Logs

To enter a Contact Log record, follow these steps:

  1. Choose Contact Log from the Income menu.
  2. Click the New button, or choose New Record from the Edit menu.
  3. Enter details for the contact.

QUICK SETUP HINT-- There are no required fields.  You can enter whatever you want to describe each contact.

Data Fields

Enter the following information for each Contact Log record:

Account Type-- Choose the type of account that did the calling.
Account-- Enter the caller's name.
One Time Name-- If the account allows you to enter one-time names, turn on the One Time checkbox to enter a name for this contact.  Otherwise this field shows the full name of the account.
Contact Type-- Enter the type of contact this was. You can include whatever you'd like in the Contact Type list.
Description-- enter any specific comments you'd like about the call.
Entered-- the date you enter the call appears automatically.
Record Number-- Goldenseal automatically assigns a unique number to each call.
HINT-- Use Record Numbering to change the next number, and the display format for record numbers.
Contact With-- Enter the name of the employee who took the call.
Contact Date-- enter the date of the call.
Contact Time-- enter the time of the call.
Action Taken-- Enter any actions that this call might require. You can include anything in the Actions Taken list .
Action Taken By-- Enter the type of account that took action on this item.
Account-- Enter the name of the person who took action on this item.

Status Field

The status menu has no specific function, but you can use it to sort or find specific groups of calls.
You can mark each contact log item with any of the following status choices:
Entered-- For average contacts
Urgent-- For important contacts.
Incomplete-- For contacts that require follow-up action.
Completed-- For contacts that have been completed.
Planned-- For contacts that will be made in the future.
Void-- For contacts that no longer need action.

Using Contact Logs

When you talk again with the same person, use the Find command to refer back to previous Contact Log records, and perhaps get a better understanding of the situation.
