How do I add my company name/address/phone to a printed form?
There are several different ways to include your company info on printed forms or reports. The one that will work best for you depends on whether you already have a logo graphic, if it already includes your contact info, and how often you think it will change. The choices are:
- Contact info in standard logo graphic.
- Contact info in custom graphic for a form.
- Contact info as text.
Option 1: Standard Logo with Contact Info
To include your contact info in a standard company logo graphic, follow these steps:
- Use any graphics program to create your logo. You can use any images, but include your company name and contact info as part of the graphic. This link has more info about logo setup.
- In the graphics program, select the graphic, and choose Copy from the Edit menu.
- Open Goldenseal.
- Choose Company Info from the File menu.
- On a Mac, click in the Logo field, and choose Paste from the Edit menu. On Windows, right-click in the Logo field and choose Paste from the popup menu.
- Click OK to save changes. Goldenseal will automatically include the new logo on all printed forms that use the standard logo.
The stock forms that come with Goldenseal are set up for a horizontal logo about the size of a mailing label (54 pixels high and 200 pixels wide). If you want a different logo size or shape, you will need to use the Custom Layouts command to revise each layout so it will fit. This option works well if your contact info changes frequently, since one copy/paste will update every layout at once.
Option 2: Contact info in Graphic on each form.
To include your contact info as a graphic that is pasted directly into printed form layouts, follow these steps:
- Create a graphic image that contains your company name and contact info. It can be part of your logo, or a separate graphic. This link has more info about logo setup.
- In the graphics program, select the graphic, and choose Copy from the Edit menu.
- Open Goldenseal.
- Choose Custom Layouts from the Options menu, and choose Printed Forms from the submenu.
- Use the controls at upper left to open the layout you want to change.
- Choose Paste from the Edit menu. The graphic with contact info will appear in the middle of the layout.
- Click on the graphic, and drag it to the location where you would like it to appear.
- Repeat steps 4 to 6 for each layout that will have the graphic with contact info.
This approach means more editing if you ever move, or otherwise change your contact info. However it lets you use a different appearance on different printed forms, and it may be quicker if you only use a few printed forms.
Option 3: Contact info as text on each form.
To include your contact info as text on the printed form layouts, follow these steps:
- Choose Custom Layouts from the Options menu, and choose Printed Forms from the submenu.
- Use the controls at upper left to open the layout you want to change.
- Double-click on the Text tool in the tool palette on the left side of the window (Letter A, first row, right side).
- Click in the layout in the place where you want contact info to be included (or in any blank area).
- Keep holding down the mouse button, and drag a rectangle where you want the text to appear.
- Release the mouse button. Goldenseal will show a dialog to enter text.
- Enter your company name, then click OK.
- If necessary, drag the text to the desired location. You can use the Text menu to change the font, size, style or color.
- Repeat steps 4 to 8 for each additional text line (address, phone, website, email, etc).
- HINT: After you create the text, you can use Format--Align to line them up exactly with each other.
To move the same text to other layouts, follow these steps:
- Select all the text fields. You can drag a rectangle around all of them, or hold down the shift key and click on each text block.
- Choose Copy from the Edit menu.
- Use the controls at upper left to move to a different layout.
- Delete any items that might be in the way of the new text.
- Choose Paste from the Edit menu. Goldenseal will put the copied text blocks into the same location on the new form.
This approach is the fastest way to add your contact info to a few forms. It is probably the best choice if you don't need to change it very often.
