Accounting Ledger Columns

NOTE-- These manual pages cover our older MacNail construction accounting software, which we retired in 2000. It has been replaced by Goldenseal, which is an integrated business management program that includes general accounting, job costing, payroll and project billing, plus construction cost estimating, contract writing and simple scheduling. Goldenseal does not require Excel, but it is otherwise very similar to MacNail.

The columns in the Checkbook Ledgers are as follows:

Job

The MacNail construction accounting software uses the Job column to indentify the project where each payment is applied.

Enter a job code if the item in question covers just one project. For checks covering several items that are job costed through one of the Logbooks, you can put in the job number for the job that gets most of the item, or leave this cell blank.

In a Quick Ledger, type a job number (based on the Master Index) into this column. The project name will not be 'looked up' for you, so be careful to type in the correct job number.
In a Full Ledger, after you have typed in the job code, check the jobsite column to make sure you entered the proper job number. The name of the job will be taken from the Master Index and entered automatically into column J for you. If you type in an invalid job number, column J will display 0, #### or #REF!.

If the job name is not displayed, choose Calculation from the OPTIONS menu, and turn it to Automatic. If the proper job name is still not displayed, choose *Lookup Formulas from the FORMULA menu and add the 'lookup' formulas to the row.

Use 99 as a code number for office costs, and for overhead items that aren't assigned to a particular job.

Use 0 (other) as a code for small and miscellaneous projects that don't have their own Job Cost Control worksheet. If you enter them onto an Other Cost Control worksheet (see page 127) you can track their costs there.
