Cloning a Company File

It's usually easier to keep using the same company file, year after year. But you might want to create a clone if you start a new business.

Preparing For a Cloning

To create a 'clone' copy of your current records, follow these steps:

  1. Open your current company file.
  2. Choose Customers from the Accounts menu.
  3. Go through the records, and turn on the Include in Starter File checkbox for each account that you want to include in the new file.  Turn the checkbox off for accounts that you do not want to include.
  4. Repeat step 3 for every other class of accounts.

NOTE-- In some accounts, the Include in Starter File checkbox is not on the main data entry screen. In that case, click the More Info button to see it (the button may possibly be named something else, in some account classes).

You can probably save time by using the Find and Replace All commands, to fill field values into many records at once. For example, if you want to include all active Material Supplier accounts, follow these steps:

  1. Choose Material Suppliers from the Accounts menu.
  2. Choose Find from the Edit menu.
  3. Enter Active into the Status popup menu (in the gray area on the left).
  4. Click the Find button.
  5. Goldenseal will find all active accounts.
  6. Click the Billing Setup button, and turn on the Include In Starter File checkbox.
  7. Click OK.
  8. Choose Replace All from the Edit menu.
  9. Choose Include In Starter File from the list of fields.
  10. Click OK.
  11. Goldenseal will mark all found records, so they will be included.

Making a Clone

Once you have marked the accounts to include in a clone, you can use the Export command to create the new file. To do so, follow these steps:

  1. Choose Export from the File menu, choose Other Items from the submenu, and choose Starter Data from the second submenu.
  2. In the range dialog, choose to export all items.
  3. Enter a name and location for the export file, then click Save.
  4. Choose Quit (Macintosh) or Exit (Windows) from the File menu.
  5. Open Goldenseal, and create a new company file.
  6. Choose Import from the File menu, and choose Company File from the submenu.
  7. Locate the file you exported in step 2.  Click Open.
  8. Goldenseal will import the basic data from your original file.
