Purchase Order Cost Overruns

How to Use

Goldenseal includes an option to warn about overpayments on a Work Order or Purchase Order.

To set the warnings, follow these steps:

  1. Choose Preferences from the Options menu, and choose Expenses from the submenu.
  2. In the Overpayment Warnings section, set the way to handle cost overruns for each type of expense.
  3. Click OK.

When you enter a Material Purchase and enter a Purchase Order into the Applies To fields, Goldenseal will check whether it pays more than the PO, and then use the Preferences setting to decide whether to forbid payment or give a warning.

Starting with Goldenseal 3.9, you can set some of the Purchase Orders to have different behavior. To do so, follow these steps:

  1. Choose Purchase/Work Orders from the Costs menu.
  2. Click the New button.
  3. Enter details for the order.
  4. If you want to prevent overpayments (even if Preferences allow them), enter No Cost Overruns into the Conditions field.
  5. If you want to allow overpayments (even if Preferences forbid them), enter Flexible Pricing into the Conditions field.

When you enter a purchase for the item, Goldenseal will check the Conditions first, before checking Preferences.
