Job Cost Numbers Not Matching

Some numbers don't match between different job cost reports for the same job!

When you see a mismatch between numbers in Goldenseal job costing software, the solution to the problem depends on which numbers you are looking at.

Job Costs vs Expenses

Are you are looking at expense totals from one of the reports under Reports--Expense and comparing them to values in the Job Costs command or in one of the reports under Reports--Job Costs?

If so, you are looking at numbers that are calculated differently, and they frequently won't match.

  • Expense reports show the net amount, while Job Cost reports show the job cost amount (which is frequently different for equipment, labor and subcontractor costs).
  • Job Cost reports include expenses from bank transactions and cost transfers, while expense reports don't.
  • Job Cost reports use categories from an itemized breakdown in an expense. Expense reports only use the category field for the entire transaction.

Job Costs Command

When you first open the Job Costs command, Goldenseal shows a snapshot value for each project. These numbers are stored in each account so we can display the values quickly.

When you double-click on a project, Goldenseal looks at actual job cost transactions and calculates totals.

If the snapshot total doesn't match the details, then there probably was a problem in the past that prevented a transaction from posting to the project's snapshot value.

Starting with Goldenseal 3.32 you can use the Clean Up command to re-post job costs and make sure the numbers match up properly. To use it, follow these steps:

  1. Choose Projects from the Accounts menu.
  2. Locate the project account that has the problem.
  3. Choose Security from the View menu, and choose Clean Up Record from the submenu.
  4. Goldenseal will re-post values in the account and report any problems.

HINT-- You can also use the Clean Up Records command to clean up all of the project accounts.

Job Costs Reports

A few users have reported posting problems that cause number mis-matches in the job cost reports viewed under Reports--Projects. These seem to have occurred in records entered from clients in some early versions of the multi-user version of Goldenseal.

The Clean Up Record command in version 3.2 and later will fix these errors-- follow the steps described in the previous section.
