Job Cost Errors-- Missing File

Problem

Getting *missing file error message in cc column after posting job cost control.

User tried posting to job costs and nothing happened- MacNail construction accounting software didn't update job cost sheet.

Diagnosis

Check the name in the jobsite column of the accounting ledger or expense log they are posting from.

Macintosh: Check in the Current Job Costs folder for that text plus "cost control".

Windows: check in the curjbcst directory for a file named xxxxxxxx.cc, where the xxxx are the first eight or characters of the job name (fewer if it has < 8 chars).

In both cases there must be an exact text match or MacNail will give a *missing file error.

Punctuation and spaces count when matching file names (you may need to have them read things character by character, and even they may sometimes overlook punctuations like dashes or periods).

HINT-- Accounting file names are NOT case sensitive, you can reassure user about that.

Solution

1- if file is not there: make a cost control sheet, then clear *missing file from ledger/log (if a log, sort by job first--makes it easy to find them all!)
2. if file is there--try retyping name of the file (watch for extra spaces). It has to be an exact text match with what's in the Master Index and Ledger/Log.
3. if they were posting a lot of jobs--might have run out of memory. Can try removing the error message and post again, or post using start/stop to post a smaller range of entries.

Here's the 1-2-3 approach for fix of this problem
1. In Master Index, retype name (for example, "Smith"). Note that an apostrophe ' will cause problems, so don't include in name
2. In Labor Log etc, retype name in Jobsite/Job Name column for any rows that weren't updated via Lookup formulas
3. In Labor Log etc, also remove error message from cc column. EIther use backspace/delete key on keyboard, or use Clear from the Edit menu. DO NOT USE Delete from the Edit menu!!!
4. In Macintosh Finder or Windows Explorer, rename the file. Macintosh accounting software- name it "Smith Cost Control". Windows- "SMITH.CC".
5. Open cost control manager, and choose the Post Job Costs command.
