Handling Inventory

Diagnosis

MacNail construction accounting software can be used to track materials going into or out of inventory.
To use MacNail for inventory transactions, first set up inventory as both a job and a supplier.

Solution

To do so, follow these steps:
When you purchase materials that will be stored in inventory, follow these steps:
1. Open the Material Log.
2. Scroll down to the first blank line.
3. Enter information just as you would if it were being used on a jobsite, but use Inventory as the jobsite.
When you take materials out of inventory and use them on a jobsite, follow these steps:
1. Open the Material Log.
2. Scroll down to the first blank line.
3. Enter information just as you would if it were purchased from a supplier, but use Inventory as the supplier. This step will make sure the materials are job costed to the correct job.
4. Duplicate the previous line transferring materials from inventory to a jobsite, but change the quantity to a negative number, and change the jobsite to Inventory. This step will remove the items from inventory, and make sure they are not expensed twice.
To see all the inventory transactions entered into the Material Log, follow these steps:
1. Enter the Inventory job number into the Query Box.
2. Choose Extract Special from the Data menu. A list of all inventory transactions will be created.

1. Open the Master Index.
2. Enter Inventory as a job name. You may want to use an easily-remembered number like 100 as a code for it.
NOTE: If the number you enter is not in numerical order, open the Cost
Control Manager and choose Put Projects in Order. It will insure the jobs
are in correct order.
3. Enter Inventory as a material supplier.
